Scope

This privacy policy applies to all applications submitted via the career portal jobs.synedat.com to Synedat Group GmbH or any of its subsidiaries. It also applies if you specifically apply for a position within a subsidiary of Synedat Group GmbH or if your data is added to our Talent Pool.

Purposes and Legal Bases of Data Processing

Synedat Group processes your personal data for the following purposes:

  • Conducting the application process (e.g. reviewing and evaluating your application documents, contacting you, organizing interviews): Legal basis: Art. 6(1)(b) GDPR in conjunction with § 26 BDSG

  • Talent Pool: Inclusion and storage of your application data for future job offers based on your explicit consent Legal basis: Art. 6(1)(a) GDPR

  • Referral program: Processing contact data, profile information and application documents in the context of a recruiting or referral program Legal basis: Art. 6(1)(b) and (f) GDPR

  • Defense and assertion of legal claims: If applicable, processing your data to protect against or defend against legal claims, e.g. under the General Equal Treatment Act (AGG) Legal basis: Art. 6(1)(f) GDPR

What Data is Processed?

In the context of your application, Synedat Group collects and processes in particular the following personal data:

  • First and last name

  • Address and contact details (telephone number, e-mail address)

  • Date of birth (if provided)

  • Application documents (e.g. cover letter, CV, certificates, references)

  • Details of your qualifications, education and work experience

  • Information from reference letters or in the context of recruiting programs

  • Results of the application process (e.g. interview notes, suitability assessments)

  • Communication data (e.g. correspondence with you)

  • If applicable, data for participation in competitions

  • If applicable, profile data from publicly accessible social networks (e.g. Xing, LinkedIn), if you provide these to us

The data is generally collected directly from you as part of your application or subsequently during the application process.

Automatically Collected Technical Data

When visiting jobs.synedat.com, certain information is automatically transmitted by your browser to our servers or those of our service providers, including:

  • Browser type and version

  • Operating system

  • IP address

  • Date and time of access

  • Referrer URL (e.g. from which website you arrived)

  • Device identifier, cookie ID

This data is technically necessary to ensure the secure and stable operation of the career portal.

Talent Pool and Referral Program

Talent Pool: If you give us your explicit consent, your application data will be included in the Synedat Group Talent Pool. We store your data there for up to 12 months in order to contact you about suitable future job offers. Your consent is voluntary and can be revoked at any time with future effect.

Referral Program: If you are referred by third parties or refer someone yourself, the relevant contact details and application documents will be processed as part of the selection process. All data protection principles of this policy apply here as well.

Competitions

For competitions occasionally offered, Synedat Group processes personal data exclusively for conducting and administering the competition (e.g. contacting winners). The data will be deleted after the competition has ended and any legal retention periods have expired.

Recipients and Data Sharing

Within Synedat Group GmbH and its subsidiaries, only those individuals who are entrusted with handling the application process have access to your data.

To provide and process the application procedure, we use contracted processors and IT service providers, for example for:

  • Applicant management system (e.g. Recruitee B.V., Netherlands)

  • Web hosting and e-mail service providers

  • Analytics services (e.g. Google Analytics, LinkedIn, Facebook, Indeed)

  • Competition administration

Data will only be disclosed to third parties if we are legally obliged to do so or if you have given your express consent.

Transfers to Third Countries

Some of the service providers used by Synedat Group GmbH and its subsidiaries are located outside the European Union (EU) or the European Economic Area (EEA), e.g. in the USA. In such cases, an adequate level of data protection is ensured through appropriate safeguards, in particular EU standard contractual clauses.

Cookies, Analytics Tools and Social Plugins

Synedat Group GmbH uses cookies and similar technologies on jobs.synedat.com. Necessary cookies are required for the functionality of the site. In addition, – with your consent – analytics and marketing cookies are used, for example from:

Use is only with your consent, which you can manage via the cookie banner. Social media links (e.g. LinkedIn, Xing, Instagram) are pure links that do not transfer data to third parties as long as you do not click them.

Retention Periods and Deletion

Synedat Group stores your personal data only as long as necessary for carrying out the application process and for complying with legal obligations.

After the conclusion of an application process: No later than 120 days after notification of a rejection, unless you have been included in the Talent Pool or have expressly agreed to longer storage.

Talent Pool: Automatic deletion of your data after a maximum of 12 months or immediately upon revocation of your consent.

Referral program/competitions: Deletion at the latest after completion and expiry of legal deadlines.

Analytics and cookie data: According to the periods specified in the cookie banner.

Longer storage is only carried out where required by law (e.g. to defend against legal claims).

Your Rights as a Data Subject

Under the GDPR, you have the following rights:

  • Access (Art. 15 GDPR): You have the right to obtain information about your personal data stored by Synedat Group.

  • Rectification (Art. 16 GDPR): You can have incorrect or incomplete data corrected.

  • Erasure (Art. 17 GDPR): You have the right to have your data deleted, provided there are no legal retention obligations.

  • Restriction of processing (Art. 18 GDPR): You may request the restriction of processing, e.g. during a review.

  • Data portability (Art. 20 GDPR): You may request that your data be provided in a machine-readable format.

  • Objection (Art. 21 GDPR): You may object to the processing of your data for reasons arising from your particular situation.

  • Withdrawal of consent: You may withdraw your consent at any time with effect for the future.

Withdrawal and Objection Options

You can withdraw your consent to data processing at any time without formal requirements. Upon receipt of your withdrawal, the relevant data processing will be discontinued unless legal retention obligations prevent this. You can also object to the processing of your data for analytics, marketing, or other purposes at any time.

Automated Decision-Making

No automated decision-making or profiling as defined by Art. 22 GDPR takes place at Synedat Group GmbH and its subsidiaries. All decisions in the application process are made by people.

Right to Lodge a Complaint with a Supervisory Authority
